Ambassador Fellowship Tooling: Personal Reimbursement Request

On 26 March 2025, the Ambassador Fellowship Advisory Board that was in place for the Establishment and Incubation Phases (now know as Genesis Cycle) asked me to lead the operations to a successful close by 3 May 2025.

From this point onwards, I had no resources available to me - people or finances.

I have been funding the Ambassador tooling since 31 March 2025. I am requesting reimbursement for this expenditure. I have noted when the various accounts will stop being paid from my personal account and will work with the Fellowship to find another way to continue the tooling.

In the absence of an optimistic payment mechanism, I am forced to come to OpenGov for these expenses. There will follow a second proposal for compensation for the work done. This will signal the end of that phase.

Thank you for your proposal. Our second vote on this proposal is NAY.

The Small Tipper track requires 30% participation and simple majority of non-abstain votes according to our voting policy v0.2, and any referendum in which the majority of members vote abstain receives an abstain vote. This proposal has received one aye and six nay votes from ten available members, with one member abstaining. Below is a summary of our members' comments:

Some voters abstained or voted against the proposal, questioning the rationale behind covering software subscriptions for a compensated program head and expressing concerns about the lack of consultation with OpenGov. Others believed that reasonable compensation was justified. Overall, the discussion highlighted differing views on the appropriateness of funding certain expenses and the necessity of transparency in decision-making processes.

@PERMANENCE DAO Thank you for your feedback. It would have been helpful to have had this feedback prior to the vote and I could have clearly answered your concerns.

The tools that we used was a decision taken back in January -- I always had to pay for the tooling and would then be reimbursed at the end of the month. When the Board sent back the funding, they did not reimburse me for any tooling costs from 1 April. This would have meant a loss of the Google suite - including the Polkadot Global calendar and out ability to host meetings of 100+ people, the ability to use restream, which we did on a weekly basis to update stakeholders on progress and our new show which has had 4000+ listens per episode - The Fellowship Meets. Notion, or Ambassador Platform, would also not exist.

The only new tool that I added was Storydoc, for one month. This was the tool that we used to display the reports of the PIF recipients.

I have now closed all of the Ambassador tools -- the dates when each account ceases is listed above. If the Fellowship wants to continue to have any type of tooling prior to any funding being secured, someone else will need to take over payment.

I can confirm that Lucy was asked to spearhead the Polkadot Ambassador Fellowship.

Lucy trusted the team and the process and - wanting the ambassador fellowship to be successful - spent private funds for admin, tooling, and travel, not to speak of her time.

Lucy had bad luck many times over. After the Genesis cycle was successfully concluded, remaining funds were returned to the treasury before outstanding payments were made. Some events payments weren't approved in the end because of details.

It is truly the least the community can do to pay for the tools that she exclusively used for Polkadot.
